Overview

A smart workforce planning tool designed for an animal rendering farm to streamline trip scheduling and management. The system leverages AI to automate trip rescheduling, with the goal to improve operational efficiency while maintaining user experience for non-tech-savvy users.

The Challenge

The logistics team relied on outdated spreadsheets and phone calls to manage schedules, making it hard to handle last-minute changes like driver absences or vehicle reassignments. Routes depended on multiple variables — vehicle capabilities, driver skills, licenses — but there was no central system to track or adjust these

The Solution

I designed a two-sided AI-powered platform: one to handle driver, vehicle, and route management, and one access trip details. The system automated scheduling, with AI suggesting reschedules when drivers were unavailable, new ones were added, or trips were unassigned.

Understand the Landscape Context, Users & Workflows

Explored the limited market landscape, crafted realistic personas, mapped key user journeys, and defined flows based on real operational challenges and behavioural patterns.

Design the Brain- AI-Powered Scheduling Logic

Collaborated with the developer to define how AI could respond to real-time changes — absences, new drivers, or unassigned routes — and auto-suggest smart reschedules. Rough sketches helped explore layout options and early ideas for both roles. This step also included early design explorations of what AI integration might look like.

Click, Click, Iterate – Prototyping & Testing

Started with low-fidelity clickable prototypes to validate key flows. Moved to a mid-fidelity click-through version for feedback gathering. Feedback sessions were short but focused, allowing us to make confident design decisions before refining visuals.

Polish Pass – High-Fidelity UI Design

Finalized clean, role-specific UIs with clear visual hierarchy and minimal learning curve. Focus was on simplicity, consistency, and real-world usability.

On the Stage – A Presentation

Presented the solution at an industry-facing event, where the AI-driven scheduling and clean UI were praised by stakeholders and attendees for solving real pain points clearly and efficiently.
